    Under the direction of Director, Parking and Transportation Services in support of Shuttle Supervisors, the Program Assistant is responsible for independently performing professional work within Transportation Services using established policies, procedures, precedents, and guidelines.  Program Assistant does related administrative support of Transportation Services as required.  Prepare and review operational reports and schedules to ensure accuracy and efficiency.  Monitor personnel or equipment locations and utilization to assist in the coordination of service and schedules. Administer transportation communications within the University community. Position works to ensure compliance with safety procedures.  Confer with customers or supervising personnel to address questions, problems, or requests for service or equipment.

    Responsibilities

    • Assist supervisor guiding shuttle bus drivers in the field and monitor Next Bus so that passengers are transported according to schedule.
    • Responds to e-mails, providing customers with information and facilitating the resolution of customer issues. Answers telephones, screens calls, and handles customer complaints to facilitate the resolution of customer issues.
    • Assists and implements safety procedures in compliance with local, state, federal rules and regulations including the Department of Transportation (DOT).
    • Verify Next Bus tracking information accurately matches vehicle route assignment and is updated as necessary.
    • Schedule service and activities, as well as the work of others.
    • Arrange daily/weekly Person with Disability (PWD) schedule.
    • Coordinate bus charter trips including information gathering with the customer and shuttle supervisors.
    • Administer the preparation of biweekly Kronos payroll report for management approval, payroll information reviewed and updated daily in Kronos.
    • Enter work order data obtained from daily pre/post inspection reports into work order system.
    • Assist with organizing all personnel-related documents and ensures that Transportation Services is in compliance with all Human Resources mandated requirements.
    • Obtain and coordinate driver requests to complete semester work schedule.
    • Check driver call-offs. Communicate information updates with the supervisor to make changes to meet passenger demand.
    • Assist management handle delays, equipment breakdowns, accidents and other operational difficulties. Communicate pertinent information with management or support areas (Police, Fleet Services, ).
    • Support supervisor instructions with drivers at the beginning of the shift, dispatch drivers to appropriate route or special event request as needed.
    • Coordinate with management routine checks of drivers relative to: schedule adherence, route, proper signage, traffic regulations, safety, operating policies, general appearance, and approach toward passengers, general demeanor and daily documentation activity as required.
    • Establishes liaison and maintains cooperative working relationships with other staff or areas whose functions impact on assigned responsibilities.
    • Consult with the supervisor on a regular basis to discuss progress, identify problems, and effective
    • Participate in the formation of policies and procedures.
    • Assists in the development, evaluation and upgrading of safety programs.
    • Maintain proper paperwork for any accident or other incidents including safety files and records.
    • Prepares correspondence in the course of official duties. Maintains essential records and files.
    • Gathers and compiles materials for publications and other requisite reports.
    • Coordinate and maintain vacation sick and time off requests.
    • Attends and participates in meetings and events related to assigned responsibilities.
    • Participates in Drug and Alcohol testing as required by the University and applicable federal and/or state laws.
    • Provides general clerical support for the department and, as needed, for colleague departments within Facilities Services (schedules meetings, takes meeting minutes, serves as a receptionist for the department, makes photocopies, ).
    • Provides office assistance as needed, including: answering telephones, taking accurate messages, making copies, etc.
    • Secures and safeguards equipment and facilities for which the area is responsible.
    • May be required to learn to utilize various types of electronic and/or manual recording and information systems used by the department or related units.
    • Authors draft memos, letter and general communications on behalf of Shuttle Management.
    • Maintains integrity and confidentiality in performing all duties.
    • Performs other duties as assigned.

    Qualifications

    • Graduation from an accredited college with a Bachelor's Degree.
    • A minimum of one (1) year of professional work experience in transportation or shuttle service operation.
    • Position requires expertise in Microsoft Office, correspondence preparation and file maintenance.
    • Ability to read write, speak and understand English sufficiently to perform the duties of the position required.
    • Advanced writing and organizational skills and the ability to work independently
    • Typical schedule will be Monday – Friday, 8:30 am – 4:00 pm. Must be flexible and available to work overtime and holidays within the seven days a week, 20 hours a day operation.

    Salary Range P16: $42,895.85 -$60,350.09
     *NOTE: Salaries for internal candidates are determined by the New Jersey Civil Service Commission's formula. Salaries for external candidates are determined up to no more than $48,713.93.
